Viewing, Responding to, and Sharing Emails in Trident (macOS)

In this article, we'll see how you can view and respond to emails you've received as well as share drafts and emails with your teammates.

Viewing Emails

You can view the emails you've received in the detail view at the left with a vertical split, at the bottom with a horizontal split, or without a split, depending on how you've customized it


Viewing Emails in Reader View

You can get an immersive email reading experience using the Reader View option. This will hide all email management options and present you with only the email content. 

To access this view from the email detail view:

  1. Open the email.
  2. Click the More Options  icon at the top-right corner of the email detail view.
  3. Select Reader View from the menu list. 


Viewing Emails in a New Window

To view your emails in a new window with all of the email management options present from the email list:

  1. Right-click the email.
  2. Select Open in Window from the menu list. 

To view your emails in a new window from the email detail view:

  1. Open the email.
  2. Click the More Options  icon at the top-right corner of the email detail view.
  3. Select Open in Window from the menu list. 

Viewing Emails From a Specific Sender

To view all of the email conversations from a specific sender:

  1. Right-click the email that you've received.
  2. Select List Emails From This Sender from the menu list.

Viewing SecurePass Emails  

To view a secured email:

  1. Click open the email.

  1. Click View the email in the email detail view and you'll be redirected to the web browser.

  2. Verify your identity to view the email content.

Note: SecurePass emails will be denoted with a lock  icon beside the email.

Viewing Original Email Content 

The Show Original option lets you view the full technical details of an email, including the sender’s authentication information and message headers. This helps to:

  • Verify whether an email is genuine or spam.

  • Check the original formatting or encoding of the message.

  • Share full message details with your email administrator for troubleshooting.

To view the original email content:

  1. Open the email whose raw details you want to view.

  2. Click the More Options icon in the email detail view.

  3. Select Show Original from the menu list. 

Once you've opened the email in its original format, you can download the full content, copy it to the clipboard, or alternate between viewing the full original content or only the headers.

Printing Emails

To print emails:

  1. Open the email you want to print. 
  2. Click the More Options  icon at the top-right corner of the email detail view.
  3. Select Print Mail from the menu list.
  4. In the dialog that appears, configure the print settings.
  5. Once ready, click Print

Responding to and Forwarding Emails

You can respond to emails using the following methods:

Reply

The reply will be sent to the sender of the initial email.

Reply All

The reply will be sent to all recipients of the initial email.

Forward

The initial email can be re-sent to any recipient of your choice.

You can access these options from three places in the Mail module.

The upper-right section of the email in the Mail detail view.

The Quick Reply box located below the email.

Right-click the email in the list view and select the required option.

Note: You can also switch between Reply, Reply All, and Forward directly in the Mail Composer, even after starting with a different action.


Forwarding Emails as Attachments  

To forward an email as an attachment from the list view:

  1. Right-click the email.

  2. Select Forward as Attachment.


The email will be converted to an .eml file type and added as an attachment to the Mail Composer, from where you can draft your message and send it.

To forward an email as an attachment from the detail view:

  1. Open the email you want to forward as an attachment.

  2. Click the More  icon at the top-right corner of the email detail view.

  3. Select Forward as Attachment from the menu list.


IdeaTip: You can also drag emails from the list view and drop them in the Mail Composer to attach them as .eml files.

To forward multiple emails as attachments, multi-select emails from the list by clicking the sender's image or the hollow circle and selecting Forward as Attachment from the More  icon in the detail view. You can also use the shortcut command + A to multi-select up to 50 emails instantly.


NotesNote: While forwarding multiple emails as attachments, you can select up to 100 emails, or ten emails with threaded conversations, or both. However, the cumulative size of the emails added as attachments must not exceed 40 MB (this is subject to change depending on your pricing plan).

Sending Quick Replies

You can choose from a variety of pre-written email responses to respond to emails quickly. To do so:

  1. Open the email you would like to respond to.
  2. Click the Quick Reply  icon in the bottom-right corner to view a list of reply options.
  3. Choose a reply from the list that appears.

NotesNote: The email will be sent immediately after choosing a response from the list of options. No alert will be shown. 

Editing Emails as New 

You can make changes to an email you've received or that has already been sent, by using the Edit as New option. Clicking on this option will open the email in the Mail Composer window, allowing you to make necessary changes to the email content. 

To edit an email as new:

  1. Open the email that you would like to edit.
  2. Click the More Options   icon and select Edit as New from the menu list.
  3. Once the required changes have been made, click Send.

Sharing Emails

By sharing emails, you can easily handle email-related discussions and receive input from co-workers in the form of comments, avoiding multiple forwards and replies. 

To share an emai:

  1. Click the Add or View Invitees  icon. 
  2. Search for the contacts and select them from the list of suggestions.
  3. Click Invite

  • You can also @mention an individual or group in comments and click the Share  icon to share the email.
  • Emojis and files can be attached in the comments.
  • Check the Include Others in This Conversation checkbox if you wish to include the members marked in the original email.

Sharing Email Drafts 

By sharing drafts, you can review your email content with your co-workers, get their feedback, and make modifications to your email before sending it out. 

To share a draft, you can @mention a contact, type your message, and click the Share  icon. Alternatively, you can also:

  1. Draft an email in the Mail Composer and click the Share Draft  icon.
  2. Click the Add or View Invitees  icon. 
  3. Search for the contacts and select them from the list of suggestions.
  4. Click Invite

  • Once the draft is shared, the invitees will receive a notification. 
  • You can continue making changes to the draft, and all changes will be reflected automatically and dynamically when the email draft gets saved.
